Hello, team,

Dwight, Erik, Trisha, Wei-Hwa and I met on 12/23 to make final decisions on when and where to hold our Game.

We agreed that the San Francisco home/garage of Dwight's son Joe would not work as a set for the central lab, but could serve as a puzzle location.

We agreed that NIMBY and SOMArts were our two favorite locations from the short list.

There was slight preference for SOMArts, so as a next step I will attempt to negotiate a final deal with them.

We agreed that the next team meeting will be on Thursday, 1/6/11.

At that meeting we'll

  • review the list of tasks we need to accomplish to pull off this game
  • divide those into areas or responsibility
  • assign a leader ("time lord") for as many of those areas as possible
  • review our staffing and consider which areas we need to recruit more help for

In between now and then Erik, Trisha, and I will work on a short (10+ pages) script that represents our Game if it were a movie/play. The script should be both fun and should help to communicate to ourselves and candidate recruits what's going on. We'll attempt to do a read-through of the script at the next meeting.

UPDATE

SOMArts sent me the attached quote. Somehow they managed to take the $500/day non-profit rate and add on enough stuff to multiply it by a factor of more than *four*. I will attempt to negotiate that back out of the stratosphere.

But I am not very hopeful of success. So I am simultaneously negotiating with NIMBY for use of their facility on the weekends of 9/17 and 9/24 in 2011 for a lump sum of $3,000. I think it's likely they'll go for it.

I'll report more as I learn it.

Allen

Hello Allen,

I put together a rough quote for your event rental. After a production meeting with our facility and tech manager we
can get a better estimate of fees based on your needs. The date is tentative but July and August are your best bets
for an entire weekend being available.
Our office is closed for the holidays, but I'll be available after Jan. 3.

Hope your holidays are lovely.

 Sincerely,
 Mary Molly
